Collection Notice

JES LEGAL PTY LTD (ABN 92 701 276 735) (JES LEGAL, we, us) collects personal information so that we can act for you and run our practice. This notice explains what we collect, why we collect it and who we may share it with, as required by Australian Privacy Principle 5 under the Privacy Act 1988 (Cth).

This notice is a summary. It should be read together with our Privacy Policy (last updated 28 August 2026), which explains in more detail how we handle personal information. Our contact details are at the end of this notice.

Depending on your dealings with us, we may collect the following kinds of personal information:

• Contact and identity details: your name, address, email address, telephone number and date of birth.
• Background details: your qualifications and work history.
• Financial information.
• Health and other sensitive information, for example information about work health and safety.
• Device information, including your operating system and how you use your device.

We collect this information directly from you through forms on our website, telephone calls (which we may record using our VXT phone system), meetings (including Microsoft Teams or VXT meetings), email and our Smokeball client portal. We may also collect it from third parties, such as a public register, a relative or spouse, or your employer.

Our website uses cookies and similar technologies, such as pixels and analytics tags, for necessity, performance, functionality and advertising purposes. You can manage or disable cookies at the bottom of our website.

We collect, hold, use and disclose your personal information so that we can:

• verify your identity and check for any potential conflict of interest;
• verify your authority to act on behalf of an entity dealing with us;
• act for you, or for an entity you are involved or associated with, and advance a matter or take legal action;
• provide a service or product to you, provide information, process an application, and respond to your question, complaint or instruction;
• run our business and perform legal and operational tasks, including following up outstanding invoices and pursuing debt recovery;
• conduct market research;
• tell you about our services, workplace advisory offerings and workplace training seminars, which you can opt out of at any time using the unsubscribe link in our messages or by contacting our Privacy Officer; and
• comply with our obligations under applicable laws, regulations and codes.

Where the law requires or authorises us to collect particular information, such as when we meet our professional obligations as a legal practice, we will tell you when we collect it.

If you do not give us the information we ask for, we may not be able to verify your identity, check for conflicts of interest, act for you or provide our services. We may also be unable to respond properly to your enquiry. If you disable cookies on our website, some website features may not work as intended.

We may share your personal information with the service providers that help us run our practice, including providers of cloud hosting, workforce management, analytics and marketing platforms, and the software we use such as VXT and Smokeball. We may also disclose it where necessary to act for you, advance a matter or take legal action, and where the law requires or authorises it, including to courts, tribunals, regulators, other parties or insurers.

If an invoice remains unpaid, we may pursue debt recovery.

Some of our service providers store or process information overseas. The locations depend on the providers we use from time to time, but may include New Zealand, the United States, the United Kingdom, the European Union and Singapore.

You can ask to access, or to correct, the personal information we hold about you by contacting our Privacy Officer. We may charge you a fee for our reasonable costs of providing access.

If you have a complaint, question or concern about how we handle your personal information, please contact us first. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) on 1300 363 992 or at www.oaic.gov.au.
